AI Financial Planning Agent

The AI Financial Planning Agent is an intelligent automation layer built into the platform's financial management module. It analyses your organisation's spending data, identifies anomalies and savings opportunities, generates budget recommendations, and enforces expense policies — all before issues reach a human approver.

Spending Pattern Analysis

The agent continuously monitors transaction data across your organisation and builds a model of normal spending behaviour at the department, cost centre, and category level.

What it does:

  • Tracks spend trends over rolling time windows
  • Identifies seasonal or cyclical patterns
  • Compares actual vs. expected spend per category
  • Provides a spend overview surfaced directly in the financial dashboard

Anomaly Detection

When a transaction or a cluster of transactions deviates significantly from established patterns, the agent raises an anomaly flag for finance team review.

Examples of flagged anomalies:

  • A department's monthly software spend doubles without an associated purchase order
  • A vendor payment is processed outside of normal payment windows
  • Multiple similar transactions are submitted in a short time window (duplicate risk)

Anomalies appear in the Finance Agent Inbox with a severity level (low / medium / high) and a plain-language explanation of why the item was flagged.


Cost-Saving Opportunities

The agent analyses spend data to surface opportunities where your organisation could reduce costs without impacting operations.

Types of opportunities surfaced:

  • Redundant SaaS subscriptions across teams
  • Vendors where usage is consistently below contracted volumes
  • Categories where spend exceeds benchmarks
  • Consolidated purchasing opportunities across departments

Each recommendation includes the estimated saving, the data that supports it, and a suggested action.


Auto-Generated Budget Recommendations

At configurable intervals (e.g. start of quarter, start of fiscal year), or on demand, the agent produces a budget recommendation document for each department or cost centre.

Recommendation content includes:

  • Proposed budget amounts per category, derived from historical spend and trend projections
  • Variance explanations where the recommendation deviates significantly from the prior period
  • Confidence indicators based on data completeness

Finance teams can review, edit, and approve the generated recommendations directly in the platform. Approved recommendations feed into the budget module.


Expense Report Policy Enforcement

Before an expense report is routed to an approver, the agent automatically reviews every line item against your organisation's configured expense policies.

Checks performed:

  • Spend category limits (e.g. meal per-diems, hotel nightly rate caps)
  • Required receipt thresholds
  • Prohibited vendor or category spend
  • Out-of-policy submission timing (e.g. submissions older than 90 days)
  • Duplicate submission detection

Violation handling:

  • Line items with policy violations are flagged with a clear reason before the report moves to approval
  • Submitters receive an in-app notification detailing each flagged item
  • Approvers see a consolidated policy summary on the report so they can make an informed decision
  • Reports with critical violations can be configured to require mandatory finance review before standard approval

Note: The agent flags violations for review — it does not automatically reject reports. Approval decisions remain with human approvers.


Configuration

The AI Financial Planning Agent is enabled at the tenant level. Key configuration options:

  • Policy rules — Define spend limits, prohibited categories, receipt thresholds, and submission windows under Settings → Expense Policies.
  • Anomaly sensitivity — Adjust detection thresholds under Settings → AI Agents → Financial Planning.
  • Budget recommendation schedule — Configure frequency and scope under Finance → Budget → Recommendations.
  • Notification routing — Set who receives anomaly alerts and policy violation notifications under Settings → Notifications.

Availability

The AI Financial Planning Agent is available to all tenants on plans that include the Financial Management module. Features are available from v1.0.54 onwards.
