One of the most common compliance failures in residential lettings isn't intentional negligence — it's a missed handoff. A tenancy ends, the property gets re-let, and somewhere in the noise, the deposit return process never gets started. Weeks pass. Suddenly you're exposed.

With v0.1.220, we've added a dedicated escalation workflow to close that gap.


What We've Built

Every morning at 09:00 UTC, the platform runs a sweep across all ended tenancies. If a tenancy ended more than 14 days ago and no deposit release has been started (or it's still sitting in draft), the system steps in.

Org admins receive:

  • An urgent in-app notification — visible as soon as they open the dashboard
  • An escalation email — a direct prompt with a clear call to action to begin the deposit release

No configuration needed. No manual monitoring required. The workflow runs automatically, every day.


Why 14 Days?

The 14-day threshold is a practical compliance buffer. It gives your team enough time to complete end-of-tenancy check-outs and begin the release process — while still providing meaningful lead time before statutory obligations become critical under the Renters' Rights Act.


Who Gets Notified?

Only org admins are escalated at this stage. These are the people in your organisation with the authority and responsibility to initiate or approve a deposit release. Standard members and tenants are not notified — this is an internal operational alert.


What Should You Do When You Receive an Alert?

  1. Open the flagged tenancy in the platform
  2. Review the end-of-tenancy state — check-out report, inventory comparison, any agreed deductions
  3. Initiate a deposit release or open a formal dispute if deductions apply

Once a deposit release moves out of draft status, the escalation stops for that tenancy.

This workflow is part of our ongoing commitment to keeping landlords, agents, and tenants on the right side of the Renters' Rights Act — not by adding more admin, but by removing the gaps where things fall through. Automated escalation means fewer surprises, fewer disputes, and faster, fairer outcomes for everyone involved.
