Introducing the Unit Owner & Occupier Registry — v1.0.38

Version 1.0.38 introduces the Unit Owner & Occupier Registry, a foundational module for managing who owns and occupies each unit within an Irish multi-unit residential development.

This post explains what has been added, why it matters, and how to start using it.


Why This Matters

Accurate ownership records are the backbone of block management. Nearly every downstream workflow — service charge billing, legal notices, AGM voting rights, portal access — depends on knowing who owns each unit, in what capacity, and from what date.

Previously, ownership data had to be managed externally. With this release, it is a first-class, structured entity within the platform, with full history tracking and direct links to billing and communications.

Getting Started

1. Add Your First Owner Record

Navigate to a unit within your development and open the Owners tab. Click Add Owner and complete the required fields: owner name, contact details, correspondence address, ownership start date, ownership percentage, occupier status, and tenure type.

For sole-owner units, set ownership percentage to 100.

2. Invite Owners to the Portal

Once an owner record is saved, use the Send Portal Invite action to email the owner their access link. Owners will be able to log in and view their unit and statements immediately.

3. Import Existing Records in Bulk

If you are onboarding a development with existing ownership data, use the Bulk Import option under the Owners section. Download the CSV template, populate it with your data, and upload. The system validates each row and reports any errors before committing.

4. Record Ownership Changes

When a unit changes hands, open the current owner record and set the Handover Date. This closes the existing ownership period and preserves it in history. Then add a new owner record for the incoming owner with their start date.


A Note on Arrears Attribution

A common challenge in block management is establishing who is liable for unpaid service charges when a unit has been sold. With ownership history enabled, the platform can now determine the owner of record on any given billing date, giving agents and OMCs an accurate basis for pursuing arrears against the correct party.
