Annual Management Plan (AMP) Document Generation

The platform now supports end-to-end generation of the Annual Management Plan (AMP) — a structured document covering the upcoming year's maintenance schedule, budget summary, compliance calendar, and sinking fund projection — ready for presentation at the AGM.

What Is an Annual Management Plan?

Under Irish property management practice, the agent responsible for an Owners' Management Company (OMC) is expected to produce an Annual Management Plan and present it at the Annual General Meeting. The AMP provides the OMC board and unit owners with a clear forward-looking picture of:

  • Planned maintenance for the coming year across all common areas and building fabric
  • Budget summary including service charge income, expenditure projections, and reserves
  • Compliance calendar covering statutory inspections, certifications, and regulatory deadlines
  • Sinking fund projection showing current balance, anticipated contributions, and planned drawdowns

How AMP Generation Works

The AMP generation workflow aggregates data already held in the platform across four domain areas and compiles it into a single structured document.

1. Data Aggregation

When you initiate AMP generation for a development, the platform automatically pulls together:

2. Document Template

The aggregated data is applied to a standardised AMP template aligned with Irish property management practice. The template produces a document with clearly delineated sections corresponding to each of the four domains above, plus a cover page identifying the development, the OMC, the plan year, and the managing agent.

3. PDF Export

Once generated, the AMP can be exported as a PDF. The PDF is suitable for:

  • Distribution to unit owners in advance of the AGM
  • Presentation at the AGM itself
  • Filing as part of the OMC's annual records

Generating an AMP

  1. Navigate to the relevant development in the platform.
  2. Open the Documents section and select Annual Management Plan.
  3. Select the plan year for which the AMP should be generated.
  4. Review the aggregated data summary — the platform will highlight any sections where data is incomplete or requires attention before the document is finalised.
  5. Confirm and select Generate AMP.
  6. Once generated, use Export as PDF to download the document.

Note: Ensure that the budget, maintenance schedule, compliance calendar, and sinking fund data for the target plan year are up to date before generating the AMP. The document reflects the current state of each data source at the time of generation.

Data Requirements

For a complete AMP to be generated, the following should be in place for the relevant plan year:

  • Budget: At least one approved budget with service charge line items
  • Maintenance: Scheduled maintenance tasks assigned to the plan year
  • Compliance: Compliance items with due dates falling within the plan year
  • Sinking fund: An active sinking fund record with a current balance and contribution schedule

If any of these are missing, the platform will still generate the AMP but will flag the incomplete sections within the document.

Irish Legislative Context

The obligation to produce an Annual Management Plan is grounded in Irish property management practice and the expectations set out under the Multi-Unit Developments Act 2011. The Act requires OMCs to manage the common areas and the financial affairs of the development in a transparent and accountable manner. Presenting an AMP at the AGM supports compliance with the spirit of these obligations by ensuring owners are informed of planned works, costs, and fund management for the year ahead.
