Owner Churn Risk Dashboard

The Churn Risk Dashboard gives gym owners a real-time view of every member ranked by their likelihood to leave. It combines risk scoring, smart filtering, AI-assisted outreach, and outcome tracking into a single console, so owners can identify and act on retention problems before they become cancellations.


Accessing the Dashboard

The Churn Risk Dashboard is available to users with the Owner role. Navigate to Business Intelligence → Churn Risk from the main sidebar.


Member Risk Console

The console lists all active members sorted by churn risk level from highest to lowest. Each row displays key member details alongside their current risk classification.

Risk Levels

CriticalImmediate attention required — member shows strong disengagement signals
HighElevated risk — proactive outreach recommended
MediumWatch list — monitor for further disengagement
LowEngaged — no immediate action needed

Members at High and Critical risk are surfaced at the top of the list and include additional outreach tooling (see AI Check-in Messages below).


Filtering & Segmentation

Use the filter bar above the member list to narrow the console to a specific segment. Filters can be combined.

Available Filters

  • Tier — Filter by membership tier (e.g. Foundation, Performance, Elite). Useful for understanding whether churn risk is concentrated in a particular pricing band.
  • Programme Track — Isolate members enrolled on a specific training track. Helps identify whether a track's programming or scheduling may be contributing to drop-off.
  • Membership Length — Filter by how long a member has been with the gym. Compare retention patterns between newer members still in onboarding and longer-tenured members who may be plateauing.
  • Coach — View churn risk by assigned coach. Useful for spotting whether workload distribution or coaching frequency is correlated with member disengagement.

AI Check-in Messages

For any member classified as High or Critical, the dashboard displays a pre-drafted AI check-in message. These messages are:

  • Contextualised to the individual member's profile, history, and risk signals
  • Ready to send directly from the dashboard without leaving the console
  • Designed to feel personal rather than automated, giving owners a strong starting point for re-engagement

Owners can review and edit the draft before sending.


Outreach Outcome Tracking

Every check-in sent from the dashboard is logged against the member's record. After outreach, owners can record the outcome of the interaction — for example, whether the member responded positively, raised a concern, or did not reply.

This builds a per-member outreach history that helps owners:

  • Avoid contacting the same member repeatedly without resolution
  • Understand which intervention approaches are working
  • Provide context when handing off a member to a coach for follow-up

Notes

  • Churn risk scores are updated in real time as member activity data changes
  • The dashboard is only visible to users with the Owner role; coaches and members do not have access
  • AI-drafted messages are suggestions only — review before sending
