Prospecting Contact Import Pipeline
The Prospecting Contact Import Pipeline is a three-stage flow that takes contacts sourced from Apify extractions or Land Registry searches, walks them through GDPR compliance review and lead categorisation, then instantly fires personalised nurture journeys — all without leaving NurtureHub.

Bulk operations are available throughout every stage.
Stage 1 — Compliance Review
When an import batch arrives (from an Apify extraction or a Land Registry search), NurtureHub immediately evaluates each record for GDPR compliance.
What you'll see
- A list of all imported records with a clear compliance status indicator next to each one.
- Records without a documented lawful basis for contact are automatically flagged for attention.
What you need to do
- Confirm any flagged record you are satisfied has a lawful basis — this moves the record forward.
- Reject any record you are not comfortable contacting — rejected records are discarded and will not be created in your contact store or receive any communications.
- Use the bulk confirm or bulk reject controls to process multiple records at once.
Important: Only records you explicitly confirm will progress to Stage 2. Rejected records are permanently excluded from this import batch.
Stage 2 — Category Assignment
Every confirmed record must be assigned to one of NurtureHub's twelve lead categories before a journey can be triggered.
Pre-suggested categories
NurtureHub analyses the source of each record and pre-suggests the most appropriate category:
- Records from a Land Registry search are typically pre-suggested as Seller or Buy-to-Let Investor.
- Records from an Apify extraction are pre-suggested based on the extraction type configured at the point of import.
Pre-suggestions are advisory. You can override any suggestion by selecting a different category from the dropdown before confirming.
Bulk category assignment
To apply the same category to multiple records at once:
- Select the records using the checkboxes.
- Choose a category from the Bulk assign control.
- Confirm the assignment.
Stage 3 — Journey Trigger
Once all records have a confirmed category, the pipeline finalises the import:
- Contact creation — Each approved record is written to the NurtureHub contact store with full source metadata retained.
- Journey Architect fires — Immediately and automatically, the Journey Architect generates a personalised three-email nurture sequence for each new contact, tailored to their assigned category and your agency's brand voice.
- Review & approve — The generated emails appear in your standard email approval queue. No additional configuration is needed.

Data sources supported
- Apify extractions — Web-sourced prospecting data ingested via the Apify integration.
- Land Registry searches — Property ownership data retrieved from HM Land Registry.
GDPR considerations
- NurtureHub flags any record where a lawful basis for contact cannot be automatically determined. You are responsible for confirming that a valid lawful basis exists before approving a record.
- Rejected records are not stored, not contacted, and not included in any reporting metrics.
- Confirmed records retain source metadata in the contact store for audit purposes.
