Contact Notes & Activity Timeline

NurtureHub now gives every agent a shared, chronological record of everything that has happened with a contact — and a simple way to add their own observations to that record.
Contact Notes
What are notes?
Notes are free-text entries that any team member can attach to a contact. They are timestamped automatically at the moment of creation and are visible to everyone in the organisation.
Constraints
- Maximum length: 2,000 characters per note.
- Scope: organisation-wide — all team members can read every note.
- Notes cannot be edited or deleted after saving (this ensures an accurate audit trail).
Where to add a note
You can create a note from any of the following locations:
Contact detail page
- Open a contact.
- Scroll to the Activity Timeline section.
- Click Add note.
- Type your note (up to 2,000 characters) and click Save.
The note appears immediately at the correct position in the timeline.
Hot-leads page
- Navigate to Hot Leads.
- Find the contact you want to annotate.
- Click the Note icon (pencil) on the lead card.
- Enter the note text and click Save.
This is designed for quick capture — for example, recording that you have just spoken to a vendor before acting on the hot-lead alert.
Sequence review page
- Open a sequence that is pending review.
- Click Add note in the contact summary panel on the right.
- Enter the note text and click Save.
This is useful for capturing the reason you approved, edited, or rejected a particular email sequence.
Activity Timeline
The Activity Timeline on the contact detail page consolidates every recorded event for a contact into a single, chronological feed.
Event types

| Alert triggered | The intent-scoring engine fires a hot-lead alert |
| CRM sync | A bidirectional sync event occurs with a connected CRM |
Supported CRMs for sync events
CRM sync events appear in the timeline for all natively connected and API-connected CRMs:
- agentOS (native)
- Reapit
- Alto
- Street
- Loop
Reading the timeline
- Events are displayed oldest at the top, newest at the bottom by default.
- Each entry shows the event type, a short description, and a timestamp.
- Note entries additionally display the note text and the name of the team member who created it.
- Alert entries link through to the full hot-lead detail.
Frequently Asked Questions
Can I edit a note after saving it? No. Notes are immutable once saved to preserve an accurate activity record.
Are notes synced to the CRM? No. Notes exist only within NurtureHub and are not written back to connected CRMs in this release.
Who can see notes? All members of your organisation. There is no private or user-scoped note option.
Is there a limit to how many notes a contact can have? There is no upper limit on the number of notes per contact.
