Mandate Confirmation Emails to Tenants

From v1.0.48, the Direct Debit service automatically sends tenants email confirmations at two points during the mandate lifecycle: immediately after form submission, and again when AUDDIS confirms the mandate is active.

Overview

When a tenant completes the mandate form and their mandate is registered with Modulr, the service dispatches a confirmation email without any additional action required from the agent. A follow-up email is sent once the mandate clears the AUDDIS registration process and becomes active.

Both emails use the existing email template system.

Email 1 — Submission Confirmation

Trigger: Mandate form successfully submitted and registered with Modulr.

Contents:

  • Direct Debit Guarantee summary — a plain-language summary of the tenant's rights under the DD Guarantee
  • Agreed amount and frequency — the payment amount and collection frequency the tenant signed up to
  • First collection date — the scheduled date on which the first payment will be collected from their account
  • Agent contact details — the letting agent's name and contact information, so the tenant knows who to contact with questions

Email 2 — AUDDIS Activation Confirmation

Trigger: Modulr/AUDDIS confirms the mandate is active and ready for collection.

This email notifies the tenant that their Direct Debit mandate is now fully set up and active. It serves as the definitive confirmation that the BACS registration process is complete and collections will proceed as agreed.

Direct Debit Guarantee Requirement

Under the Direct Debit Guarantee, payers must be notified of their Direct Debit arrangement in advance of the first collection. The submission confirmation email satisfies this requirement by delivering the key terms — amount, frequency, and collection date — directly to the tenant upon mandate registration.

Template System

Both emails are rendered through the service's existing email template system. No new email infrastructure is introduced in this release. Template customisation (e.g. branding, agent-specific content) follows the same configuration as other system emails.
