Win-Back Campaign Automation

Win-Back Campaign Automation allows gym owners to automatically reach out to recently cancelled members with a configured offer and message sequence. Outreach timing, message content, and conversion results are all managed from the owner console.

Overview

When a member cancels their membership, they are automatically enrolled in the win-back sequence that has been configured by the gym owner. No manual trigger is required — cancellation events initiate enrolment immediately.

The goal of a win-back campaign is to present the right offer at the right time to encourage the cancelled member to return, while giving the owner measurable data on what is working.

Setting Up a Win-Back Campaign

All win-back campaign configuration is done from the Owner Console.

1. Define an Offer

Create the offer that will be presented to churned members. This could be:

  • A discounted membership rate
  • A limited-time free trial extension
  • A reduced join-back fee
  • Any custom incentive relevant to your gym

The offer is attached to the campaign and presented across all outreach touchpoints in that sequence.

2. Configure Outreach Timing

Set when each message in the sequence is delivered relative to the member's cancellation date. For example:

The number of touchpoints and their timing are fully configurable per campaign.

3. Author Message Templates

Each outreach touchpoint uses a message template that you author in the owner console. Templates allow you to:

  • Write personalised, on-brand copy
  • Reference the configured offer within the message body
  • Tailor tone and content to different stages of the sequence (e.g. a softer re-engagement message early on, a stronger call-to-action later)

4. Activate the Campaign

Once the offer, timing, and templates are configured, activate the campaign. From that point, any member who cancels will automatically be enrolled and begin receiving outreach according to the sequence.

Conversion Tracking

Conversion is tracked at the per-campaign level. In the owner console you can monitor:

  • How many churned members were enrolled in the campaign
  • How many converted (re-joined)
  • Conversion rate per campaign

This data lets you compare the effectiveness of different offers and sequences over time and refine your approach accordingly.

Notes

  • Only members who cancel after a campaign is activated will be enrolled in that campaign.
  • A member will only be enrolled in the active campaign at the time of their cancellation.
  • Message delivery and timing are based on the cancellation date recorded in the platform.
