Digital Signature Collection
Digital Signature Collection
As of v0.1.32, the platform supports legally-valid electronic signatures for key tenancy documents. Signatures can be collected from tenants, landlords, and agents without leaving the platform.
Supported Documents
Digital signatures can be applied to the following document types:
| Document | Typical Signatories |
|---|---|
| Check-in reports | Tenant, landlord / agent |
| Deduction schedules | Landlord / agent, tenant |
| Dispute settlement agreements | All parties |
Signature Modes
Signatories can choose from two input methods:
Drawn Signature
Using a mouse, trackpad, or touch screen, the signatory draws their signature directly on a canvas within the document view. Suitable for users on tablet or mobile devices.
Typed Signature
The signatory types their full name, which is rendered in a signature-style font. This mode is accessible on all devices and requires no specialist input hardware.
Audit Trail
Every signature submission automatically records:
- IP address — The network address of the device used to sign.
- Timestamp — The exact date and time (UTC) at which the signature was submitted.
This metadata is stored immutably alongside the signature and is included in exported document copies, providing a tamper-evident record suitable for dispute resolution and compliance purposes.
How to Collect a Signature
- Open the relevant document (check-in report, deduction schedule, or dispute settlement).
- Navigate to the Signatures section at the bottom of the document.
- Select the signatory role (tenant, landlord, or agent).
- Choose Draw or Type as the signature method.
- Complete the signature and click Confirm Signature.
- The signature, IP address, and timestamp are saved automatically.
Repeat steps 2–6 for each required signatory. A document is considered fully executed once all required parties have signed.
Legal Validity
Electronic signatures collected through this feature are intended to meet the requirements of applicable electronic signature legislation (e.g. the Electronic Communications Act 2000 in England and Wales). The combination of drawn or typed signature, IP capture, and timestamping provides the evidence needed to demonstrate intent and identity.
Note: Always consult your legal adviser if you are unsure whether an electronic signature satisfies the requirements for a specific document or jurisdiction.
Compliance Context
This feature supports compliance with the Renters' Rights Act by enabling fully digital, auditable agreement workflows for deposit deductions and dispute settlements — reducing reliance on physical paperwork and accelerating resolution timelines.
