Tenancy Timeline & Deadline Calendar

Every tenancy has a visual timeline that displays all legally and operationally significant dates in a single, colour-coded view. It is designed to help landlords, agents, and tenants stay compliant and avoid missed deadlines without having to track dates manually.


Overview

The timeline appears on the individual tenancy page and updates automatically as the tenancy progresses. Each milestone is displayed chronologically and given an urgency status based on proximity to its deadline.


Tracked Milestones

Deposit Protection

Shows the statutory deadline by which the deposit must be protected with a government-approved scheme. Late protection is flagged immediately in red.

Prescribed Information

Tracks the deadline to serve prescribed information (PI) notices to the tenant following deposit registration. Compliance with this deadline is a legal requirement under the Renters' Rights Act.

Notice Periods

Displays any active notice periods — whether served by the landlord or the tenant — along with the date the notice expires.

Check-out Booked

Shows the scheduled date of the check-out inspection. If no check-out has been booked and the tenancy end date is approaching, a prompt is surfaced.

Deduction Response Window

Once a deduction proposal is sent, the timeline tracks the window within which the tenant must respond. This prevents proposals from expiring unnoticed.

Dispute Resolution Deadline

If a deduction is disputed, the timeline tracks the deadline for escalating the matter to the deposit scheme's adjudication service.


Urgency Colour Coding

Each milestone is colour-coded to indicate its current urgency:

🟢 GreenCompleted, or deadline is comfortably in the future
🟡 AmberDeadline is approaching — action recommended
🔴 RedOverdue, or critically close to deadline

Who Can See the Timeline?

  • Landlords & Agents — Full view of all milestones across the tenancy lifecycle.
  • Tenants — Can see milestones that are relevant to them (e.g. check-out date, deduction response window, dispute deadline).

Compliance Notes

The deadlines shown on the timeline are derived from statutory requirements under the Renters' Rights Act and the rules of the relevant deposit protection scheme. The platform calculates these automatically based on the tenancy start date, deposit registration date, and other recorded events.
