Tenant Profile & Portal Invite

From v0.1.39, agents and landlords can store tenant personal details and send tenants a direct invite to the tenant portal — enabling tenants to participate in the check-out process without a full agent account.


Tenant Profile

Each tenancy record can now hold a structured tenant profile. The supported fields are:

These fields are populated and managed by the agent or landlord responsible for the tenancy.


Sending a Portal Invite

Once a tenant profile has been created with a valid email address, an invite can be sent from the tenancy record. The invite grants the tenant scoped access to the tenant portal — limited to their own tenancy only.

How to send an invite

  1. Open the relevant tenancy record.
  2. Navigate to the Tenant section.
  3. Confirm the tenant's name and email address are filled in.
  4. Click Send Portal Invite.

The tenant will receive an email containing a link to access their portal. No separate account creation is required.


What Tenants Can Do in the Portal

Once a tenant has accepted their invite and logged in, they can:

  • View tenancy details — key dates, property information, and tenancy terms
  • Upload documents — submit photos, invoices, or other evidence relevant to their tenancy or check-out
  • Participate in the check-out process — respond to proposed deductions or provide their own evidence during a dispute

Tenants do not have access to agent-facing tools, other tenancies, or any financial configuration.


ID Verification Status

The ID verification status field on the tenant profile is a manually or system-updated indicator of whether a tenant's identity has been verified. The possible states are:

  • not started — verification has not been initiated
  • pending — verification is in progress
  • verified — identity has been confirmed

This status is visible to agents and landlords on the tenancy record and can be used to track compliance ahead of check-out.


Notes

  • A tenant must have a valid email address on their profile before a portal invite can be sent.
  • Portal access is scoped strictly to the tenant's own tenancy — tenants cannot view other properties or tenancies.
  • Tenant portal access does not consume an agent licence seat.
