Contact List & Category Management

Contact List & Category Management

The contacts workspace is the primary interface for managing every contact across your agency. It provides a single, filterable view with direct controls for category assignment, journey management, and bulk operations.

Overview

When you open the Contacts section, you see all contacts synced from your connected CRM(s) alongside any contacts created directly in NurtureHub. From here you can find any contact instantly, understand where each one sits in their nurture journey, and take action — individually or in bulk — without leaving the view.

Searching Contacts

Use the search bar to find contacts by:

  • Name
  • Email address
  • Phone number
  • Postcode

Results update in real time as you type.

Filtering the List

Apply one or more filters to narrow the list to the contacts you need:

FilterOptions
CategoryAny of the 12 predefined categories (e.g. Seller, Landlord, Buy-to-Let Investor, Active Tenant)
GroupProspect · Existing Client
Journey StatusNo Journey · Generating · Awaiting Approval · Active · Completed
Lead Score BandCold · Warm · Hot
CRM SourceagentOS, Reapit, Alto, Street, Loop, or any connected integration
Date RangeFilter by date added or date of last activity

Filters can be combined freely. For example, you can show all Warm prospects from Reapit whose journeys are Awaiting Approval.

Sorting

Click any column header to sort the list by:

  • Lead Score (default — highest intent first)
  • Name (A–Z)
  • Last Activity (most recent first)
  • Date Added (newest first)

Assigning or Changing a Category

A contact's category determines which nurture sequence they receive. You can set or change a category directly from the list view:

  1. Locate the contact using search or filters.
  2. Click the category badge in the contact row.
  3. Select the new category from the dropdown.
  4. NurtureHub immediately triggers the Journey Architect agent, which generates a personalised three-email sequence in your agency's brand voice.
  5. The contact's journey status updates to Generating, then transitions to Awaiting Approval once the sequence is ready.

Note: Changing a category for a contact who already has an active journey will generate a new sequence. The previous journey is marked Completed.

Bulk Operations

Select multiple contacts using the checkboxes to perform actions at scale.

Bulk Categorise

Assign the same category to all selected contacts simultaneously. Journey Architect is triggered for each contact in the selection, generating personalised sequences in parallel.

Bulk Approve

Approve all Awaiting Approval journeys for selected contacts in a single click. Only contacts with a journey in the Awaiting Approval status are affected; others in the selection are skipped.

Bulk Export

Export selected contacts and their associated data (category, journey status, lead score, CRM source) as a downloadable file.

Pagination

The list is paginated to keep performance fast across agencies with large contact volumes. Use the page controls at the bottom of the list to navigate, or increase the page size to see more contacts per page.
