Retention is one of the hardest problems in running a gym. A member's decision to cancel rarely comes out of nowhere — the signals are usually there weeks earlier. They start missing sessions, their check-ins drop off, their engagement goes quiet. But when you're managing fifty members, catching those patterns manually is nearly impossible.
v1.0.31 changes that.
A Real-Time Console for Member Retention
The new Churn Risk Dashboard gives gym owners a live ranked view of every member sorted by their risk of leaving. No more guessing who needs a call this week — the console tells you, ordered by urgency.
Risk levels run from Low through to Critical, with High and Critical members surfaced at the top of the list where they belong. The scoring updates in real time as member activity data comes in, so the console always reflects current engagement, not last week's snapshot.
Filter to What Matters
Not every at-risk member is at risk for the same reason. The dashboard's filter bar lets you cut the data by:
- Membership tier — is churn clustering in a particular price band?
- Programme track — is drop-off higher on one training programme than another?
- Membership length — are newer members failing to stick, or are long-term members drifting?
- Coach — is risk distributed evenly, or concentrated under a specific coach?
These filters can be combined, so you can ask precise questions and get precise answers — for example, "Show me Critical-risk members on the Strength track who joined in the last three months."
Outreach That Doesn't Feel Like a Template
Identifying an at-risk member is only half the job. The other half is reaching out in a way that actually lands.
For every member flagged as High or Critical, the dashboard surfaces a pre-drafted AI check-in message ready to send. The message is contextualised to that individual — their history, their track, their engagement pattern — so it reads like something you wrote, not something a system generated. You can review and edit before sending, but most of the work is already done.
Track What Works
Every outreach interaction is logged per member. After a check-in, you can record what happened — did they respond? Did they raise a concern? Did they book back in? Over time, this builds a retention history that helps you understand which interventions work, avoid doubling up on outreach, and hand off context to coaches when needed.
