Serving Prescribed Information is one of the most time-sensitive compliance obligations in residential lettings. Get it wrong — or late — and the consequences range from financial penalties to being unable to serve a valid notice. Yet it's also one of the most commonly missed steps, simply because it falls between two separate actions: protecting the deposit and then remembering to serve the paperwork.

With v0.1.306, that gap closes.


What We've Shipped

We've added an event-driven workflow that watches for the moment a deposit is first protected on any tenancy in the platform. The instant depositProtectionRef is recorded — meaning the deposit has been lodged with a scheme — the system automatically checks whether a Prescribed Information document has already been generated.

If it hasn't, a high-priority in-app notification fires immediately for the relevant team members, with a direct call-to-action to generate the document. Critically, the notification also tells you exactly how many days you have left in the 30-day service window — so there's no ambiguity about urgency.


Why It Matters

The 30-day clock starts the moment the deposit is received — not when it's protected. In practice, teams often protect the deposit promptly but then lose track of the Prescribed Information step in the noise of onboarding a new tenancy. This trigger creates an automatic, reliable connection between those two steps.

It also integrates with the platform's audit log, so there's a clear, timestamped record that the prompt was issued — useful context if a compliance question ever arises later.


How It Triggers

The workflow is fully automatic. There is nothing to configure. It activates when:

  • A tenancy record is updated with a depositProtectionRef for the first time (i.e. it was previously unset)
  • The tenancy's depositScheme is set to a recognised scheme (not 'none')

If a Prescribed Information document already exists for the tenancy, the system recognises this and does not raise a duplicate notification.


What You'll See

When the trigger fires, a high-priority notification appears in the notification centre for the relevant org members. It shows:

  • Confirmation that the deposit has been protected
  • The remaining days to serve Prescribed Information
  • A one-click link to generate the document

From there, the existing Prescribed Information generation flow handles the rest.


Part of a Bigger Picture

This trigger is part of our broader commitment to proactive compliance — using the platform's event data to surface the right action at the right time, so nothing falls through the cracks. Keeping landlords, agents, and tenants on the right side of the Renters' Rights Act shouldn't require a manual checklist. It should just happen.
