Director Portal — OMC Board Access

Overview

The Director Portal provides a dedicated interface for members of an OMC (Owners' Management Company) board of directors. It is a distinct access tier — separate from the managing agent view and the standard owner view — designed to give board directors the financial, operational, and compliance visibility required to carry out their duties under Irish company law, without granting full agent-level permissions.

When a user account is assigned the Director role for an OMC, they are automatically routed to the Director Portal on login.


Access Tiers

The platform now supports three distinct portal views:

A director may also be an owner of a unit within the same development. In that case they retain their owner-level view for personal unit matters and access OMC-wide data through the Director Portal.


Features

Financial Reports

Directors have access to the full set of OMC financial reports, including:

  • Income and expenditure statements
  • Balance sheet
  • Service charge collection summaries by unit
  • Sinking fund / reserve fund balances

These reports reflect the same underlying data visible to the managing agent.


Invoice Approval Queue

Invoices that exceed a configurable approval threshold are routed to the Director Portal for board authorisation before payment is released.

  • Directors can view invoice details, supplier information, and the associated work order or purchase order.
  • Invoices can be approved or rejected with an optional note.
  • The approval threshold is set per-OMC by the managing agent.
  • Invoices below the threshold continue to be processed by the agent without requiring director sign-off.

Maintenance Project Status

Directors can view a read-only overview of all maintenance projects across the development, including:

  • Project name, description, and scope
  • Current status (planned, in progress, completed)
  • Assigned contractor
  • Budget vs. actual spend

Compliance Dashboard

The compliance dashboard surfaces all compliance obligations relevant to the development:

  • Fire safety certificates and inspection records
  • Buildings insurance policy and renewal dates
  • Statutory lift and plant inspections
  • Outstanding items with due dates and responsible party

Directors have read access; compliance items are created and managed by the agent.


AGM Documents

All documents related to Annual General Meetings (and Extraordinary General Meetings) are accessible to directors:

  • Meeting notices and agendas
  • Minutes of previous meetings
  • Proxy forms
  • Resolutions passed

Contractor Expenditure

Directors can review a breakdown of contractor spend across the OMC, supporting board oversight of procurement decisions and value for money. The view includes:

  • Total spend per contractor over a selected period
  • Breakdown by project or work category
  • Individual invoice records

House Rule Breach Reports

When a breach of house rules is reported (by an owner or the agent), the report is visible to directors in the Director Portal. Directors can:

  • Review the details of each report (unit, nature of breach, date reported)
  • Track the status of the breach (open, under review, resolved)

Breaches are created and actioned by the managing agent; the director view is read-focused to support oversight and decision-making.


Development Documents

Key development-level documents are accessible to directors, including:

  • Land Registry title folios
  • Management company memorandum and articles of association
  • Unit leases and lease schedules
  • Service and maintenance agreements
  • Planning permissions and compliance certificates

Documents are uploaded and managed by the agent; directors have read and download access.


Role Assignment

The Director role is assigned to individual user accounts by the managing agent, per OMC. A user can hold the Director role across multiple OMCs (e.g. if they serve on multiple boards).

To assign a director:

  1. Navigate to the OMC settings in the agent dashboard.
  2. Open the Board Members section.
  3. Select the owner account and assign the Director role.
  4. The user will see the Director Portal on their next login.
