The Dynamic Approval Workflow Designer gives administrators and operations teams a visual, no-code interface to build and manage approval chains across HR, finance, and operational processes — all without developer involvement.
Overview
Approval workflows are central to how organizations govern spending, hiring, contracts, and other business activities. Before v1.0.80, configuring these workflows required technical intervention. The new Workflow Designer changes that by providing a self-service visual builder that any authorized business user can operate.
Key Capabilities
Visual Workflow Builder
The drag-and-drop canvas lets you compose approval stages by placing and connecting nodes. Each node represents a step in the approval chain — such as a manager review, a finance sign-off, or a compliance check. The visual representation makes it straightforward to understand and communicate the entire approval process at a glance.
Custom Approval Chains
Chains can include:
- Sequential approvals — Each approver must act before the next is notified.
- Parallel approvals — Multiple approvers are notified simultaneously; the chain advances once required responses are received.
- Role-based or individual assignment — Steps can be assigned to a named user, a job role, or a group.
Conditional Logic
Approval paths branch based on configurable business rules. Example conditions include:
- Request amount exceeds a defined threshold → route to a senior approver
- Employee tenure is under 90 days → require an additional HR sign-off
- Contract value above a limit → escalate to legal review
Conditions can reference fields from the originating record, user attributes, and organizational hierarchy data already present in the platform.
In-Place Editing
Existing workflows can be opened in the designer and modified at any time. Updates apply to all requests submitted after the change is saved. In-flight requests continue under the workflow version that was active when they were submitted.
Who Can Use the Designer
The Workflow Designer is accessible to users with the Workflow Administrator or System Administrator role. It does not require developer access or changes to configuration files.
Typical users include:
- HR administrators managing hiring and onboarding approvals
- Finance operations teams governing purchase requests and expense policies
- Operations managers overseeing contract and vendor approvals
Getting Started
- Navigate to Settings → Workflow Designer in the platform.
- Select New Workflow or choose an existing workflow to edit.
- Use the canvas to add, connect, and configure approval stages.
- Define conditions for any branches in the approval path.
- Assign approvers to each stage by role, group, or individual.
- Save and activate the workflow — it will apply to all new requests of the configured type.
Compatibility
- Workflows built with the designer integrate with all existing request types across HR, Finance, and Operations modules.
- Workflows created before v1.0.80 continue to operate unchanged. They can be optionally imported into the visual designer for future edits.
- No breaking changes were introduced in this release.
