We're shipping a new Inventory & Asset Management module that gives operations teams a single place to track, audit, and manage all physical and digital assets — from laptops and equipment to consumable stock — across every location in your organization.


Why It Matters

Operations teams have historically juggled spreadsheets, disconnected inventory tools, and manual audit processes. This module brings asset tracking and inventory management directly into the platform alongside your HR, financial, and workflow data, giving you one less system to maintain and a clearer picture of organizational resources.


Key Capabilities

Track Assets Across Locations

Maintain a real-time registry of all physical and digital assets. Each asset record captures:

  • Location — site, floor, room, or logical grouping
  • Ownership — assigned department or individual employee
  • Status — active, in storage, under maintenance, disposed
  • Depreciation — automated depreciation schedules tied to acquisition date and asset class

Depreciation data flows directly into financial reporting, keeping your books accurate without manual reconciliation.

Stock Level Monitoring & Reorder Alerts

For consumable and replenishable inventory, you can:

  • Set minimum stock thresholds per item and per location
  • Receive automatic reorder alerts when levels fall below threshold
  • View a dashboard of current stock levels across all sites at a glance

This eliminates surprise stockouts and gives procurement teams advance notice to act.

Barcode & QR Code Scanning

Field-ready scanning support speeds up two of the most time-consuming inventory tasks:

  • Receiving — scan incoming goods to instantly log them against a purchase order or asset record
  • Audits — walk through a location and scan assets to verify their presence and condition

Scanning works from any device with a camera, requiring no dedicated hardware beyond what your team already carries.


Getting Started

  1. Enable the module — Navigate to Settings → Modules and activate Inventory & Asset Management.
  2. Import existing assets — Use the bulk CSV import to bring in your current asset register.
  3. Configure locations — Define your sites and sub-locations under Assets → Locations.
  4. Set reorder rules — For each inventory item, specify a reorder threshold under Inventory → Items → Edit.
  5. Start scanning — Open the scan interface on any mobile device and begin receiving or auditing.

Permissions

RoleCapabilities
AdminFull access: create, edit, delete assets and inventory items; configure locations and alerts
ManagerView and edit assets assigned to their department; run audits; receive alerts
EmployeeView assets assigned to them

Role assignments follow the existing platform RBAC model configured under Settings → Roles.
