Tenant Self-Service Portal

The Tenant Self-Service Portal gives tenants a single, mobile-friendly destination to manage their end-of-tenancy process — with no account or password required.

Overview

When a landlord or agent initiates the end-of-tenancy workflow, a magic link is automatically sent to the tenant's registered email address. Clicking the link opens the portal directly in the tenant's browser, granting secure, time-limited access to their tenancy record.

The portal is entirely standalone — tenants do not need to create an account or install anything.


Features

Tenancy Details

The portal home screen displays the tenant's key tenancy information:

  • Property address
  • Tenancy start and end dates
  • Deposit amount held

Check-In Report

Tenants can view the original check-in condition report that was recorded at the start of the tenancy. This provides a transparent baseline for comparing the property's condition at check-out.

Deduction Schedule

The landlord or agent's proposed deposit deductions are presented as an itemised schedule. Each line item shows:

  • Description of the damage or issue
  • Amount claimed
  • Supporting evidence (photos, invoices) attached by the landlord/agent

Tenants can review each item before deciding whether to accept or dispute it.

Counter-Evidence Upload

Tenants can upload their own supporting files to contest one or more deductions. Accepted file types typically include photos, scanned receipts, and written statements. Uploaded evidence is immediately associated with the relevant deduction and made visible to the landlord/agent and any adjudicator.

Document Signing

Any documents requiring the tenant's signature — such as settlement agreements or formal notices — can be signed directly within the portal. No third-party e-signature tool or separate login is required.

Dispute Status Tracking

The portal provides a real-time status view of any active or resolved disputes, including:

  • Current stage in the dispute workflow
  • Actions still required from the tenant
  • Outcomes once a dispute is resolved

Magic links expire after a set period for security. If a tenant's link has expired, they can request a new one from the portal login screen.
