Instant Alerts When a Signature Is Declined

Release v0.1.283 · Workflow Update

Waiting to discover that a signature was declined — sometimes hours after the fact — creates friction at exactly the wrong moment in a tenancy checkout. From v0.1.283, that gap is closed.

What's Changed

We've added an event-driven workflow that fires the instant a signature transitions to declined. The agent who requested the signature immediately receives:

  • An in-app error notification showing who declined, why they declined, and a direct link to act on it.
  • An email carrying the same detail, so the agent is covered whether or not they're currently in the platform.

Both notifications carry a direct action link — one click takes the agent straight to where they can re-send the request or handle the situation.

Every declination is also written to the audit log, keeping the full signature lifecycle traceable for compliance and any downstream dispute evidence.

Why It Matters

A declined signature on a deposit deduction document or checkout report isn't just an inconvenience — it can stall a resolution and leave a tenant's deposit tied up beyond the legally required timeframe. Fast, automatic notification means agents can re-engage within minutes rather than days.

This workflow requires no configuration and no manual polling. It runs automatically for every signature request on the platform.
