The Mailchimp integration enables your platform to sync employee and vendor contact information with Mailchimp audiences. This allows HR and operations teams to run company communications, announcements, and targeted campaigns without manually maintaining separate mailing lists.

How It Works
- Connect Mailchimp — Link your Mailchimp account via the Integrations settings page using your Mailchimp API key.
- Map audiences — Select which Mailchimp audience(s) employee and vendor contacts should sync to.
- Configure segmentation — Define segment rules based on contact attributes (e.g.
department = Engineering,type = Vendor) to organise contacts into targeted groups. - Send campaigns — Use Mailchimp to compose and send campaigns. Engagement data (open rates, click rates, delivery status) is surfaced back in the platform.
Contact Sync
Employees
Employee records — including name, work email address, department, and role — are automatically synced to the configured Mailchimp audience. Updates to employee records (e.g. department changes, offboarding) are reflected in Mailchimp on the next sync cycle.
Vendors
Vendor contact information is synced alongside employee data, allowing procurement and operations teams to include vendor contacts in relevant communications.
Note: Only contacts with a valid email address are synced to Mailchimp.
Segmentation
Segments can be configured to group synced contacts by attributes available in the platform. Common segmentation examples:
- By department — Target a specific team or business unit.
- By employment type — Distinguish full-time employees from contractors.
- By contact type — Separate employee audiences from vendor audiences.
Segments are managed within Mailchimp using tags and merge fields populated during sync.
Campaign Tracking
Once a campaign is sent from Mailchimp to a synced audience, tracking data is available in the platform. Metrics include:
- Delivery status — Successful deliveries, bounces, and unsubscribes.
- Open rate — Percentage of recipients who opened the email.
- Click rate — Percentage of recipients who clicked a link.
Requirements
- An active Mailchimp account with at least one configured audience.
- A Mailchimp API key with read/write access to audiences.
- Employee and/or vendor records must have valid email addresses to be included in syncs.
Configuration
- Navigate to Settings → Integrations → Email Marketing.
- Click Connect Mailchimp and enter your API key.
- Select the target Mailchimp audience for employee contacts and (optionally) a separate audience for vendor contacts.
- Configure segment rules as needed.
- Click Save & Sync to trigger the initial contact sync.
Subsequent syncs occur automatically whenever employee or vendor records are created or updated.
Frequently Asked Questions
What happens when an employee is offboarded? Offboarded employees are removed from the synced Mailchimp audience on the next sync cycle to prevent communications being sent to former staff.
Can I sync to multiple Mailchimp audiences? Yes. You can configure separate audiences for employees and vendors, or map contacts to multiple audiences based on segment rules.
Are historical contacts synced on first connect? Yes. The initial sync after connecting Mailchimp will populate the configured audience with all existing eligible employee and vendor contacts.
Is two-way sync supported? No. Contact data flows from the platform to Mailchimp only. Changes made directly in Mailchimp are not written back to the platform.
