Property Manager Daily Workload Snapshot

Overview

The Daily Workload Snapshot is a scheduled email report delivered to every active property manager in your organisation each weekday morning at 07:45 UTC. It provides a concise, personalised view of everything that needs attention across their assigned properties — before the working day begins.

This report is distinct from the Weekly Org Digest, which targets admins and owners with an organisation-wide summary. The Daily Workload Snapshot is scoped strictly to the receiving manager's own portfolio.

Who Receives It

The report is sent to all org_members who meet both of the following criteria:

status = active
agentRole = 'property_manager'

Admins and owners are not included unless they also hold the property_manager role.

What's in the Email

Each email contains up to five sections, populated only when there are outstanding items in that category. Empty categories are omitted to keep the digest compact.

1. Compliance Failures

Tenancies with outstanding or failed compliance checks linked to the manager's assigned properties.

2. Pending Signatures

Documents (e.g. tenancy agreements, check-in/check-out reports) that are awaiting a signature and are blocking progress.

3. Unprotected Deposits

Deposits that have been received but not yet registered with a recognised deposit protection scheme — a common source of compliance risk under the Renters' Rights Act.

4. Overdue Check-Outs

Tenancies that have passed their scheduled check-out date without a completed check-out process.

5. Stale Deposit Releases

Deposit release requests that have been open beyond the expected resolution window and require follow-up.

The snapshot queries the following entities and filters all results to properties assigned to the receiving manager:

Notes

If a property manager has no outstanding items across all five categories, no email is sent for that day.
Property assignment is determined by the properties entity linked to each org_member.
The report runs on weekdays only; no email is sent on Saturday or Sunday.
