Recruitment and Talent Acquisition

The Recruitment and Talent Acquisition module provides a complete hiring workflow — from publishing a job opening to onboarding a new hire — all within the platform. AI-powered screening and matching reduce manual review time and help hiring teams focus on the strongest candidates.

Hiring Workflow

The module covers the full recruitment lifecycle across five stages:

Job Posting → Application & Screening → Interview Scheduling → Offer Management → Onboarding

1. Job Posting

Create a new job posting by defining the role title, department, requirements, and hiring team. Postings can be saved as drafts before publishing. Once published, incoming applications are automatically collected and routed into the candidate pipeline.

2. Candidate Tracking

All applicants appear in a pipeline view organised by hiring stage (e.g. Applied, Screening, Interview, Offer, Hired, Rejected). You can:

  • Move candidates between stages manually or via AI-assisted recommendations.
  • Add notes, attach documents, and log communication history per candidate.
  • Filter and search the candidate database by role, stage, skills, or source.

3. AI-Powered Screening

When a new application arrives, the AI screening engine:

  1. Parses the candidate's submitted materials (CV, cover letter, questionnaire responses).
  2. Evaluates them against the structured requirements of the job posting.
  3. Assigns a screening score and highlights matched and missing criteria.
  4. Surfaces top-ranked candidates at the top of the pipeline for recruiter review.

Screening runs automatically on submission. Recruiters can review, accept, or override any AI decision.

4. AI Candidate Matching

Beyond inbound applications, the matching engine scans your existing talent pool and proactively surfaces candidates who may be a strong fit for open roles. Matches are ranked by relevance and presented as suggestions within the job posting view.

Note: Candidate matching uses skills, experience signals, and historical hiring patterns within your tenant. No data is shared across tenants.

5. Interview Scheduling

From a candidate's profile, schedule interviews directly by:

  • Selecting interviewers from your organisation.
  • Choosing available time slots based on calendar availability.
  • Sending automated interview invitations to candidates and panellists.

Interview feedback and scorecards are recorded against the candidate record.

6. Offer Management

When a candidate is ready to receive an offer:

  1. Generate an offer letter using the configured template for the role.
  2. Route the offer through your organisation's approval workflow.
  3. Deliver the approved offer to the candidate.
  4. Track acceptance, negotiation, or rejection status in real time.

Once an offer is accepted, the candidate record transitions to the onboarding stage and integrates with the HR module to begin the employee setup process.


Permissions

Access to the Recruitment module is controlled by role. Typical role assignments:
