Mandate Activity Report

The Mandate Activity Report gives letting agents a structured view of mandate performance across their portfolio — from invite sent through to active collection. It is designed to surface gaps in the mandate setup process so agents can act before a missed payment occurs.

Accessing the Report

Navigate to:

/dashboard/reports/mandates

Available Metrics

Mandates Created Per Period

Displays the volume of new mandates initiated within a selected date range. Useful for tracking onboarding activity and correlating with campaign or move-in seasonality.

Mandates Cancelled / Suspended / Failed

Shows how many mandates exited the active state by being cancelled, suspended, or failing during setup or collection. Helps identify problem areas in the tenant journey or portfolio-level risk.

Mandate Conversion Rate

Calculated as:

Conversion Rate = (Active Mandates / Invites Sent) × 100

This metric reflects how effectively tenants are completing the mandate setup flow after receiving an invite link.

Average Time from Invite to Active

Measures the mean elapsed time between the mandate invite being sent and the mandate reaching an active state. A high average may indicate friction in the tenant-facing form or verification steps.

Breakdown by Property Type

Segments all mandate metrics by property type, allowing agents to compare performance across different parts of their portfolio.

Exporting Data

The full report can be exported to CSV using the export control on the report page. The CSV includes all metrics and breakdowns visible on screen and is suitable for importing into external spreadsheet tools or record-keeping systems.

Identifying Incomplete Mandates

One of the primary uses of this report is identifying tenants who have not completed their mandate setup. By reviewing the gap between invites sent and active mandates — particularly filtered to recent periods — agents can:

  1. Identify specific tenants who have not progressed past the invite stage.
  2. Follow up with those tenants directly before an upcoming collection date.
  3. Resend mandate invite links via the API or dashboard as needed.

This helps prevent collection failures caused by unfinished mandate setup.
